JOB DESCRIPTION:

Job Purpose
To provide effective/efficient administrative assistance (1) Shannon Enroute & AIS Operations (2) Technical Services Operational Engineering

Main Duties and Responsibilities
  • Where required, perform the role of Document Controller for the Shannon Enroute and AIS Operations. This will involve completing the change control process on the DAAMS and ensuring consistency between the DAAMS and the distributed hard copies.
  • Where required, issue Air Traffic Control, AIS and Engineering notices, including updating of the ATC Electronic Briefing System and the Safety related documentation to the Regulator and the Safety Management Unit.
  • Provide administrative support as required to Shannon Enroute, AIS, and Technical Services Operational Engineering Unit Management, including taking notes of meetings, general office duties, telephone enquiries from staff, industry and the general public, drafting and issuing of correspondence.
  • Completing and issuing standards forms, memos, letters and responses to queries etc.
  • Provide administrative support to the Unit Safety Manager in the administration of all safety related activities for the Shannon Operation Unit.
  • Provide administrative support to the Unit Training Manager in the administration of all Shannon training activities including the maintenance of staff training records.
  • When required, complete accurate and timely return of Public Holiday and Overtime reports for Shannon Operations Unit to the Finance Directorate.
  • When required, complete accurate and timely sick leave records, medical certificates and Social Welfare claims for Shannon Operations Unit.
  • Provide general office duties as outlined in the Shannon ATC Operations and Engineering general office manuals or duties requested by Unit management and /or the General Office AE.
  • When required, provide administrative support in the creating, checking and annual review of unit documentation in line with published procedures.
  • Checking and analysing documents, claims etc to ensure that they are correctly completed in line with Company documentation processes.
  • Preparing standard statistical material, including weekly and monthly statistical reports.
  • Creation/ completion of purchase orders.
  • Maintaining the records management system.
  • Process licence applications in a timely manner.
  • Assist visitors on site as required.
  • Other duties as may be assigned, where appropriate.

Relationships
Internal:                                 In addition to direct reporting relationships above the post holder is required to liaise with all personnel and Directorates in the Company

External:                               The postholder is required to liaise with all appropriate external bodies, providers, suppliers, and companies.

PERSON SPECIFICATON

Education, Knowledge, Experience & Skills

Essential:    
  • Experience in a busy administrative position
  • Excellent organisational and time management skills
  • Excellent IT skills, including Microsoft Office 365 Suite (Word, Excel, PowerPoint, Sharepoint, etc.)
  • Excellent interpersonal and communication skills
  • Ability to work independently or as part of a team

 Desirable:
  • Experience working in a regulated environment
