JOB DESCRIPTION:

Job Purpose
To provide effective/efficient administrative oversight for Technical Services Unit in Ballycasey Shannon.

Main Duties and Responsibilities
  • Perform the role of Document Controller for the Shannon Technical Services Unit. This will involve completing the change control process on the DAAMS and ensuring consistency between the DAAMS and the distributed hard copies.
  • Responsible for the maintenance of the Records Management System for Shannon Technical Services Unit.
  • Assist Technical Services Management in the preparation for, completion of and follow-up requirements arising from Unit audits.
  • Support managers in the tracking of deadlines on recommendations and findings.
  • Provide administrative support as required to Technical Services Technical Services Unit Management.
  • Ensure the completion of accurate and timely returns of Public Holiday and Overtime reports for Shannon Technical Services Unit to the Finance Directorate.
  • Ensure the completion of accurate and timely sick leave records, medical certificates and Social Welfare claims for Technical Services Unit.
  • Assist Management in ensuring all Return-to-Work Interviews are completed and returned to the Human Resources Directorate in a timely manner.
  • Responsible for the management of stationary and petty cash for Shannon Technical Services Unit.
  • When required provide support to the management for the minute taking at meetings.
  • Ensure that all of the general office procedures are followed correctly by general office staff.
  • Assist management in event planning and presentation preparations.
  • Update the AirNav Ireland computer systems for goods received.
  • Assist Managers in the approval and management of Invoices.
  • Administer and assist managers in the preparation of renewing maintenance contracts and accounts.
  • Recommend improvements to administrative processes to improve efficiency and ensure regulatory compliance.
  • When required, provide administrative support in the creating, checking and annual review of unit documentation in line with published procedures.
  • Provide statistical files for NAC/Shanwick operations in line with bespoke software applications.
  • Provide Route Charge Data for all aircraft/companies utilising the AirNav Ireland ATS Services. (Enroute/Terminal).
  • Liaise with all AirNav Ireland Units to determine accuracy/veracity of data received and provide updates/reports to AirNav Ireland Corporate.
  • Provide data to Eurocontrol Route Charges Office, including dealing with individual charge queries from CRCO/Airlines/ANSP’s/Customers.
  • Administration and monitoring of Aireon ALERT User Registration Database
  • Other duties as may be assigned, where appropriate.

Relationships
Internal:  In addition to direct reporting relationships above the post holder is required to liaise with all personnel and Directorates in the Company.


External: The postholder is required to liaise with all appropriate external bodies, providers, suppliers, and companies.

PERSON SPECIFICATON 
Education, Knowledge, Experience & Skills


Essential:
  • At least 5 years’ clerical experience working in varied office environments
  • Excellent knowledge and experience in Microsoft Packages including Word, Excel and PowerPoint
  • Ability to work independently or as part of a team
  • Excellent interpersonal and communication skills
Desirable: 
  • Experience dealing with invoicing and goods receipting software packages.
  • Accounts experience and cash management
