Security Management System Coordinator

Job Purpose

Reporting directly to the Security Manager, the Security Management System Coordinator will be assigned to the coordination of the integration and alignment of the three security functions, active coordination with Safety, Quality and Compliance Units and deliver on the roles and functions required within the overall security management system.

Main Duties and Responsibilities

  • Support the implementation of an integrated Security Management System aligning the three security functions under one new Security Management System.
  • Coordination of the activities and requirements to achieve the new Security Management System CUBE alignment (Safety, Security, Quality and Compliance alignment) including ongoing liaison with Quality and Compliance Leads.
  • Support the development and ongoing implementation & improvement of aligned Governance, Policy, Compliance, Risk, Occurrence, Training & Promotion and Cultural structures, policies, procedures and processes across the three security functions.
  • Support the identification of existing Compliance, Risk, Safety Impact, Occurrence, Just Culture, Training & Promotion and Cultural processes within the Safety Management System and support the development of an alignment plan to ensure synergies, efficiencies and best practice process are identified, applied within the Security Management System and that ongoing alignment coordination is established and ensured.
  • Input and tracking of all relevant security regulations and standards across the security management system within the CARMA system and ensure regulatory changes are incorporated, communicated and process compliance plans developed and input into the system.
  • Conduct regular GAP analysis assessments against current and ongoing compliance levels and ensure the CARMA system continuously reflects the current status, activity level, compliance actions and planned activities for the three security functions under the security management system.
  • Support the coordination of required activities, across the three security functions to ensure ongoing compliance with the NCASP requirements of 85% or greater and coordinate process improvement plans for submission to the Regulator if the compliance level drops below this regulatory percentage requirement.
  • Conduction and regular update of Regulatory and Standards interrelated mapping and process interdependency charting.
  • Take a lead coordination role for the implementation of ISO 27001 Security Management Standard across the three security functions ensuring the overall security management system compliance and supporting the development of implementation plans within the three security functions and tracking the deliverables to achieve compliance, maintain compliance and ensure ongoing improvement of compliance against the international standard.
  • Input of the new security management system documentation, both tier 1 and tier 2 documentation for the three security functions onto the Web Manuals system, coordinate regular reviews and process procedural updates within the system.
  • Conduct regular inspections and GAP analysis exercises against the tier 1 and tier 2 security management system documentation (policies, procedures, SOPs and assignment instructions etc.) across the company to identify non-conformances & improvement opportunities and provide detailed audit reports.
  • Conduct security audits of key contractors against contracted activities to ensure they comply with security codes of practice and relevant security standards as part of contract & service level agreements.
  • Coordination of external, 3rd party and IAA AvSec Regulatory audits.
  • Upload all audit, inspection and GAP analysis reports and findings onto the DAAMS system, proactively track all NCRs to completion including a validation process; provide statistical reports.
  • Ensure non-disclosure agreements are in place for all contracted activities and conduct routine validation checks of non-disclosure agreements against key contractors.
  • Maintain a register of critical security systems and equipment (asset register) and ensure the processes and procedures for how they are managed & controlled are up to date, communicated and regularly reviewed.
  • Support the regulatory requirement for the security management of the supply chain within the overall security management system ensuring compliance by the three security functions.
  • Support the coordination of the integrated security desktop exercises, the in-person security exercises annually and full security crisis exercises.
  • Coordinate the data collection; relevant to the security management system from the three security functions; undertake data analysis, compile status reports, statistical reporting and coordinate the overall performance management KPIs and related communication, reporting and presentation.
  • Provide inputs for the security comms plan and support the security promotional events & activities including an annual Security Awareness Week for all staff and key contractors ensuring relevant inputs from all three security functions.
  • Attend a range of security related committees, groups & meetings and assume the role of secretary for new security management system committees and working groups; providing agendas, minutes and action lists from same as required.
  • Coordinate with the ICT Cyber Expert, Network Cyber Expert and Physical Security Lead to ensure continued alignment under the new security management system through coordinated processes, activities and programmes of work.

In addition to direct reporting relationship above the post holder is required to have close liaison with all personnel and Directorates in the Company.

The postholder is required to liaise with all appropriate external bodies, providers, suppliers and companies.

PERSON SPECIFICATON

Qualifications, Knowledge, Experience & Skills

              Essential:                         

  • Certified Security Risk Management qualification
  • Certified Auditing qualification (including root cause analysis)
  • Certified Project Management qualification
  • Experience of document management systems
  • Excellent computer-based skills (i.e. MS Office, MS Project and MS Visio)
  • Excellent Coordination skills
  • Excellent Communications skills
  • Integrity and confidentiality are essential characteristics

 

Desirable:

  • Knowledge of the aviation industry
  • Knowledge of aviation security regulations
  • Quality and Compliance experience
  • Familiarisation with regulatory management systems (e.g. CARMA, etc.)
  • Statistical and Trend Analysis experience
  • Minute taking experience
