Aviation Executive (Central Document Controller) – Safety Directorate

Job Purpose

The Aviation Executive (Central Document Controller) is responsible for the timely and accurate publication of National Level 1 management system documentation and for providing Quality related management system administrative support within the Safety Directorate.


Main Duties and Responsibilities


Central Document Control

  • Support AirNav Ireland’s documentation publication process on the Document & Audit Action Management System (DAAMS) for National Level 1 documentation.
  • Ensure that the information on DAAMs is up-to-date, reliable, checked, and formally approved.
  • Review and analyse relevant documents to ensure that they are correctly completed in accordance  with documentation processes/policies.
  • Create relevant supporting documentation in accordance and adherence with published procedures.
  • Maintain a reference list of all controlled documents, owners and review dates.
  • Liaise with the Local Document Controllers and other staff as required to ensure all local unit  documentation is controlled as per the document control  procedures.
  • Co-ordinate and support document management training and familiarisation.
  • Review and monitor quality management system procedures to ensure they are accurate and up to date.
  • Review and identify continuous improvement opportunities within the management system, in particular in relation to document control.
  • Assist with quality related projects and generate reports as required
  • Support the procurement of hardcopy folders, specialised paper and other materials required for document control purposes.
  • Other document control or management system duties may be assigned, where appropriate.

Other Duties

  • Provide quality related administrative support to staff within the Safety Directorate, including taking minutes of meetings, dealing with enquiries from staff, drafting and issuing correspondence and general office duties.
  • Support the preparation of documentation and materials for Management Review Board,  Compliance Board  or other meetings, as required.
  • Liaise with Finance, Purchasing and Suppliers/Contractors in relation to quotations, purchase orders, contracts and invoicing as appropriate.
  • Liaise with suppliers and support the Approved Vendor Listing review process.
  • Maintain an  inventory of relevant records.
  • Support records reconciliation reviews.
  • Liaise with the off-site records storage company as required.
  • Maintain the records management system and liaise with others on Records Management and GDPR matters as required.
  • Provide support and assistance for unit on-site meetings and visitors as required.
  • Other duties as may be assigned, where appropriate.

Reports To:        Quality Manager (or designates)   


Direct Reports:  Not Applicable


Internal:             In addition to the reporting relationships above, the post holder is required to liaise with all personnel and Directorates in the Company.


External:          The postholder is required to liaise with all appropriate external bodies, providers, suppliers, and companies.



Education, Knowledge, Experience & Skills


  • Minimum 5 years’ experience in a similar role.
  • Demonstrable document control experience.
  • Excellent IT skills, including Microsoft Office Suite (0365, Teams Word, Excel, PowerPoint, SharePoint).
  • Excellent communication and interpersonal skills.
  • Ability to work as part of a team and independently to deliver a common goal or objective and work across team boundaries to build and strengthen working relationships.
  • Excellent attention to detail and the ability to multi-task.
  • Ability to plan, organise and prioritise workload, including co-ordinating with others to ensure deadlines and targets are met.
  • Knowledge of management systems (Quality, Compliance, Safety or Security).


  • A relevant third level qualification.
  • Knowledge and/or experience of the following systems - Document & Audit Action Management System (DAAMS), RecMan, Integra and WebManuals or equivalent systems.
  • Knowledge of ATM / aviation industry.
  • Office Management experience.
  • Management System Auditing qualification.
  • Experience of working within a regulated environment.
  • Project Management experience.


 The Job & Person specification for the role will be reviewed every 2 years or whenever the postholder vacates the position. The key competencies for the role are identified during the recruitment process and regularly reviewed under the annual Management Performance and Development (MPD) process.
