JOB DESCRIPTION:

Job Purpose

To provide effective/efficient administrative assistance in the General Office at North Atlantic Communications.

Main Duties and Responsibilities
  • Carry out general office duties as outlined in the NAC Operations General Office manuals or duties requested by Unit management and / or the General Office Aviation Executive.
  • As required support the AE in carrying out functions under Roster Management to include but not limited to completing accurate and timely return of Public Holiday and Overtime reports for NAC Operations Unit to the Finance Directorate.
  • As required, update CORE for Annual Leave, TIL and sick leave, completing them accurately and timely, while also submitting medical certificates, RTW’s and Social Welfare claims for NAC.
  • Creation / tracking / completion of purchase orders on Integra for all NAC & Engineering requirements.
  • When required, provide assistance in maintaining the Records Management (RECMAN) system.
  • Provide administrative support as required to NAC Operations Unit Management, to include telephone enquiries from staff, industry and the general public, drafting and issuing of correspondence, taking notes at meetings, general office duties, NAC Electronic Briefing Systems support.
  • When required, to provide administrative support to the NAC Training Manager/EPNI in the administration of all NAC training activities including the maintenance of staff training records, scheduling etc.
  • When required, process licence applications in a timely manner in line with the Licence Database Procedure.
  • Carry out documented Licence Database Procedures.
  • Act as the NAC Unit focal point for Health and Safety.
  • Liaise with Facilities Management and Contractors in relation to maintaining the NAC Facility and arranging renewals / extension of Staff ID Access Cards.
  • Act as Point of Contact for Conference Room / Training Room Bookings, making catering arrangements when required.
  • Liaise with CEROC Security regarding Visitors / Deliveries / Collections
  • Maintain Health & Safety / Canteen / Engineering Notice Boards with Updates
  • Maintain oversight of Office supplies and consumables, H&S supplies, and liaise with supplies contractor and IT under AirNav Ireland Purchasing procedures.
  • Preparation for annual Payroll Audit and bi-annual Health and Safety audit.
  • Process Travel & Subsistence (T&S) Claims for Watch Managers / Radio Officers & Engineers
  • Scheduling Shred It Bin Collections bi-monthly basis and forwarding destruction receipt(s) to accounts.
  • Assist with Wellbeing initiatives / Annual Flu Vaccine with HR / Staff / Medical Practitioner.
  • Coordinate Health and Safety training and support – First Aid Responder / Fire Marshall / DSE Assessor.
  • Completing and issuing standards forms, memos, letters and responses to queries etc.
  • Where required, provide administrative support to the Unit Safety, Quality and Compliance Manager in the administration of all related activities for NAC.
  • When required, provide administrative support in the creating, checking and annual review of unit documentation in line with published procedures.
  • Checking and analysing documents, claims etc to ensure that they are correctly completed in line with Company documentation processes.
  • Where required, assisting in the role of Document Controller for North Atlantic Communications. This will involve completing the change control process on the DAAMS and ensuring consistency between the DAAMS and the distributed hard copies.
  • Preparing standard statistical material, including weekly and monthly statistical reports.
  • Assist visitors on site as required.
  • Other duties as may be assigned, where appropriate.

Relationships
Internal: In addition to direct reporting relationships above the post holder is required to liaise with all personnel and Directorates in the Company

External: The postholder is required to liaise with all appropriate external bodies, providers, suppliers, and companies.

PERSON SPECIFICATON
Education, Knowledge, Experience & Skills 
Essential: 
  • Experience in a busy administrative position
  • Excellent interpersonal and communication skills
  • Excellent IT skills, including Microsoft Office Suite (Word, Excel, PowerPoint, MS Access, SharePoint etc.)
  • Ability to work independently or as part of a team
Desirable: 
  • Health and Safety experience / qualifications – First Aid Responder / Fire Marshall / DSE Assessor.
  • Knowledge / experience of CAPITA - Integra, Insight / CORE HR systems.
  • Previous relevant experience in Records / Documentation Management
  • Previous relevant experience – Payroll / Purchasing / Procurement
  • Experience working in a regulated environment
